Welcome to OpenCultureBot!

These terms and conditions outline the rules and regulations for the use of OpenCultureBot's website and Slack application, located at https://www.openculturebot.com.

1. Definitions

In these Terms and Conditions:

  • "Client," "You," and "Your" refer to you, the user accessing this website and using our Slack application

  • "The Company," "Ourselves," "We," "Our," and "Us" refer to OpenCultureBot

  • "Party" or "Parties" refers to both the Client and ourselves

  • "Slack" refers to the Slack messaging platform where our application operates

  • These terms apply to all users regardless of gender, and any use of singular/plural forms is interchangeable

2. License and Intellectual Property

OpenCultureBot and/or its licensors own the intellectual property rights for all material on OpenCultureBot. All rights are reserved. You may access our content for personal use subject to these terms and conditions.

You must not:

  • Republish material from OpenCultureBot

  • Sell, rent, or sub-license material from OpenCultureBot

  • Reproduce, duplicate, or copy material from OpenCultureBot

  • Redistribute content from OpenCultureBot without written permission

3. User Comments and Content

When posting comments or content through our service:

  • Comments reflect the views of the poster, not OpenCultureBot

  • You warrant that your comments do not violate any laws or third-party rights

  • You grant OpenCultureBot a non-exclusive license to use, reproduce, and edit your comments

  • OpenCultureBot reserves the right to monitor and remove inappropriate comments

4. Data Collection and AI Processing

Artificial Intelligence Usage

  • OpenCultureBot uses OpenAI's GPT-4o for message moderation

  • AI-generated responses may not always be accurate, and users should verify information where necessary

  • Users must explicitly opt-in before their messages are processed by our AI systems

Data Processing and Storage

  • Messages are processed only after receiving explicit user consent

  • Data is encrypted both in transit and at rest

  • During AI processing, data temporarily resides in OpenAI's US-based cloud datacenters

  • OpenAI retains API inputs and outputs for up to 30 days for service provision and abuse prevention

  • AI-processing temporarily stores messages in OpenAI’s cloud for up to 30 days, solely for abuse prevention and service improvement. OpenCultureBot does not use this data beyond AI moderation.

5. Privacy and Data Protection

Data Collection and Usage

  • We only collect and retain data necessary for app functionality

  • Data is stored as long as OpenCultureBot remains installed in your Slack workspace

  • We implement industry-standard security measures, including OAuth 2.0 authentication and TLS encryption

  • We do not expose private Slack channel names, messages, or other sensitive data to unauthorized users

  • OpenCultureBot does not store or retain Slack message history beyond its intended moderation use. No Slack data is exported, backed up, or used outside of the Slack workspace.

User Rights and Data Control

Users have the right to:

  • Request access to their personal data

  • Request correction of inaccurate data

  • Request deletion of their data

Data Retention and Deletion

  • If a user requests deletion of their data, OpenCultureBot will permanently erase all related records within 14 days. No user data is retained beyond the required service period.

  • Early deletion requests can be submitted to support@openculturebot.com

  • Data deletion requests are processed within 2 weeks

  • Certain data may be retained if required by law

6. Security and Compliance

  • We follow Slack's security best practices and compliance requirements

  • Our app undergoes regular security and compliance checks

  • We implement OAuth 2.0, TLS encryption, and strict access controls

  • We maintain appropriate technical and organizational security measures

  • OpenCultureBot does not manually map Slack user accounts to external service accounts. All authentication is performed securely through OAuth 2.0.

7. Cookies and Website Functionality

We use cookies to enhance your browsing experience. By accessing OpenCultureBot, you agree to use cookies in accordance with our Privacy Policy.

8. Reservation of Rights

We reserve the right to:

  • Request removal of links to our website

  • Amend these terms and conditions

  • Modify or discontinue services without notice

  • Remove content at our discretion

9. Disclaimer

To the maximum extent permitted by law:

  • We provide this service "as is"

  • Use of AI/LLM by OpenCulture for moderation may lead to inaccuracies or misinterpretations and hence is an opt-in feature.

  • We are not liable for damages arising from service use

  • We make no warranties about completeness or reliability

10. Updates to Terms

We may update these terms at any time. Continued use of the service after changes constitutes acceptance of updated terms.

11. Governing Law

These terms shall be governed by and construed in accordance with applicable laws, and any disputes shall be subject to the exclusive jurisdiction of the courts.
